Client book re-check: Monitoring and remediation
A client book re-check takes a list of entities you already hold and re-checks each one at the registry where it is incorporated: the Companies Registry for Hong Kong, the Mainland registry, the BVI and Cayman registries, and the national registries CorpVerify covers elsewhere. For each entity the current record is compared with the record you hold, and changes to directors, shareholders, the registered address and the company's status, such as a company struck off or wound up, are flagged field by field. The file comes back with the results filled in and a fresh registry result per entity, so reviewers start with the files that changed.
Compliance teams run it for periodic reviews, before an audit or inspection, after a merger brings in another firm's book, and as the first step of a remediation. Fund administrators run it on investor registers, lenders on borrowers before a renewal, and procurement teams on an approved supplier list. One run can hold thousands of entities in mixed jurisdictions.
Send the book as an Excel file to remediation@fill-easy.com, one row per entity, with the company name, the jurisdiction and your own reference, and the registration number where you hold it.
