An ACRA Business Profile can identify a Singapore company and its filed officers and shareholders. That makes it a useful anchor for an onboarding file, but the information still needs to be interpreted. The reviewer has to establish whether the recorded holders explain ultimate control, whether the applicant can act for the company and whether its expected transactions fit the business described.
Which rules apply
The Companies Act governs corporate records and the maintenance and filing of relevant registers. ACRA's Central Register of Registrable Controllers has a separate access regime and is not an ordinary public information product. A public profile therefore cannot be presented as a complete beneficial-owner verification.
For a Singapore bank, MAS Notice 626 and its guidelines set the relevant AML/CFT requirements, including customer identification and verification, beneficial ownership, the purpose of the relationship and ongoing monitoring. Other regulated sectors follow their applicable MAS notice. A firm onboarding the same Singapore company from Hong Kong applies its own AMLO obligations and regulator's guideline. The customer's place of incorporation supplies evidence; the firm's regime determines the due diligence standard.
Documents commonly requested
| Evidence | What the reviewer assesses |
|---|---|
| ACRA Business Profile | UEN, legal form, status, activities, officers and filed shareholders |
| Relevant member register and filed extracts | Holdings, share classes and changes relevant to ownership |
| Constitution and relevant amendments | Governance and applicable authority arrangements |
| Ownership chart and declaration, from the client | Indirect ownership, nominees and other control rights |
| Board resolution or mandate, from the client | Authority to open and operate the relationship |
| Identity evidence for relevant people | Beneficial-owner and representative verification |
| Filed or client-supplied accounts and business evidence | Financial position and the proposed payment pattern |
The Unique Entity Number should match the agreement and the evidence throughout the file. A group brand can cover a local company, an LLP or a foreign company's registration, each with different records. Understanding the legal form prevents an apparent shareholder gap from being assessed against the wrong document set.
The risks behind the paperwork
A registered shareholder may leave a control gap. Corporate holders require another ownership layer to be identified. Nominee or voting arrangements can also affect who exercises control without being obvious from the profile. Client-held evidence needs to explain those arrangements and reconcile with available member records, so the conclusion follows an evidenced chain rather than a list of names.
Missing public accounts need an explanation. Not every private company must lodge financial statements with ACRA. A missing document can reflect the company's filing position rather than a breach. Where financial capacity or funding is material, the team can establish that position and request accounts directly from the client, recording their period and assurance level.
Capital and business classifications have narrow meanings. Issued or paid-up capital does not establish today's liquidity, and a registered activity code does not establish a financial-services licence. A payment-heavy or regulated business needs the corresponding commercial evidence and permissions. Those checks help explain what the relationship is expected to do, which later supports transaction monitoring.
An officer appointment does not answer every mandate question. A director shown in a current profile may still need a resolution or delegation for the particular arrangement. Changes after an older filing can explain differences in the applicant's documents, but require supporting evidence. The team should read appointment dates and the mandate together rather than allowing one to stand in for the other.
How the Fill Easy email bot helps
An approved organisational sender can request records from agent@fill-easy.com:
Please obtain the ACRA Business Profile and available member records, latest annual return and constitution for [company], UEN [number]. Reference: [case]. Include a summary and confirm availability, price and expected turnaround.
The agent replies with item statuses, asks for clarification where necessary and returns retrieved PDFs in the same thread. Results record their source, retrieval time and request ID, with an optional summary linked to the underlying documents. A request can also cover several companies or a spreadsheet.
This gives the team a consistent way to collect the public evidence before reconciling it with ownership declarations, identity evidence and mandates. The Singapore jurisdiction page lists registry products, and the Singapore AML page distinguishes the relevant regulated sectors.
