An Indonesian PT company profile can show shareholders, directors and commissioners, but it reflects the position last notified to AHU. It also answers a different question from the company's business identification and licensing through OSS. Onboarding brings those records together with relevant deeds and client evidence to explain who owns the business, who can act for it and what it is authorised to do.
Which rules apply
Indonesia's Limited Liability Companies Law provides the PT framework, while AHU records establishment and notified amendments. Notarial deeds support the company's constitution and changes; they are distinct from the Ministry's profile and approval records. OSS business identification and licensing sit in a separate system, with activity and risk determining which additional permissions matter.
The onboarding firm's AML regime governs its customer due diligence. A Hong Kong regulated financial institution applies AMLO and its regulator's guideline to identify and verify the customer and beneficial owners, understand the relationship and conduct ongoing due diligence. Indonesian registration supplies evidence for those tasks. A beneficial ownership filing-existence result does not establish a verified list of natural-person controllers.
Documents commonly requested
| Evidence | What the reviewer assesses |
|---|---|
| AHU company profile | Legal identity, decree references, capital, holders and notified officers |
| Relevant ministerial approval or amendment record | The legal act approved and its date |
| Establishment deed, articles and amendments | Governance, capital changes and representation arrangements |
| OSS NIB and relevant activity permissions | Business identity, classifications and licensing position |
| Current ownership chart and member evidence, from the client | Changes after notification and indirect control |
| Resolution, delegation and individual identity evidence | Authority and verification of relevant people |
| Client accounts, contracts and funding evidence | Financial capacity and expected business activity |
The company name, ministerial reference, NIB and tax number should be labelled separately. They do not represent interchangeable registrations. The evidence should also establish whether the applicant is the same legal person that signs the agreement and receives funds; an abbreviated group or trading name cannot settle that match.
The risks behind the paperwork
The latest notification may lag the actual ownership change. A profile retrieved today can still describe an earlier notified position. The current relevant deed, member records and notification evidence should explain any transfer reported by the client. Differences in capital dates or share classes can also change ownership percentages, so the calculation needs an evidenced basis before tracing corporate holders further.
Directors and commissioners have different roles. A commissioner appearing in the profile should not automatically be treated as the ordinary operational signatory. The articles, current appointment and relevant resolution or delegation need to explain the proposed person's powers. Notarial deeds may require company cooperation, so a profile alone can leave an important authority question open.
An NIB does not establish every operating permission. Business identification and activity classifications provide a starting point for licensing review. Further conditions or sector permissions may apply to the actual service and location. Matching those permissions to the company prevents a valid incorporation or NIB from being expanded into a conclusion about every proposed activity.
A registration file can leave finance and control unanswered. AHU is not a private-company annual-accounts repository, and a beneficial ownership filing confirmation is different from accessible named-owner evidence. Accounts, ownership declarations and supporting records may need to come from the client. Their source and assurance should remain clear, especially when assessing funding or financial capacity for a substantial relationship.
Indonesian originals should accompany any English translation or summary. The distinction between an approved amendment, a notified change and a company-supplied deed can affect the meaning of the record. Keeping each document's date and source allows a later reviewer to follow why the file supports the conclusion.
How the Fill Easy email bot helps
An approved organisational sender can email agent@fill-easy.com:
Please obtain the AHU profile and relevant approval records for [full PT name], decree reference [number], NIB [number]. Reference: [case]. Confirm availability of the latest deed and relevant OSS evidence, translation, price and turnaround. Include a summary.
The agent lists items and their statuses, clarifies uncertain matches or unavailable documents, and returns retrieved PDFs in the same thread. Results carry their source, retrieval time and request ID, with an optional summary referencing the underlying records. Company-held deeds and restricted information may require a separate confirmed process.
The Indonesia jurisdiction page provides the AHU reference. The reviewer combines retrieved evidence with the client's records and individual verification to resolve the remaining ownership, authority and business questions.
