The agent reads orders the way people already write them.

Six example emails and what the agent picks out of each. Four details make an order faster: the document names, the registry number, the jurisdiction and your reference.

There is no form for the Fill Easy email agent.

You write to agent@fill-easy.com the way you would write to a search clerk. The agent lists every item it found in a status reply before anything is ordered. A few habits still make orders faster and reduce the questions that come back.

The mailbox channel page shows each format in a real thread, and how the agent works explains the replies.

What the agent picks out

Whatever the format, the agent looks for the companies, the jurisdiction of each, the documents wanted, any registry number and your reference, and notes whether you asked for a summary report. Put all five in the email and the first reply has less to ask.

One company, from the template

This is the template behind the “Send a test order” button on the site: one company, one jurisdiction, the documents named, and a yes to the summary.

Dear Fill Easy Agent,

Please run a Hong Kong company search for the company below, and also retrieve the documents listed.

Company name or BRN: Fill Easy Limited

Jurisdiction: Hong Kong

Documents: Company Particulars, Business Registration Certificate, latest Annual Return

Summary report: Yes

Thanks,

The labelled lines are a convenience, not a requirement. The same order works as one sentence.

Several companies in a sentence

Two or three companies fit in a sentence. Say which documents apply to each, or “for each” when they are the same.

Subject: Searches for matter 2026-142

Please retrieve Company Particulars, the BRC and the latest Annual Return for each of Harbour Crest Trading Limited and Lantau Peak Holdings Limited in Hong Kong. Matter 2026-142.

The status reply lists six documents across two companies, each with its own request ID, recorded against matter 2026-142.

A list with numbers and jurisdictions

A bullet list is clearest once companies sit in different registries. One company per line, the country, the registry number where you have it, and the documents after a dash.

Subject: KYB pack – onboarding case OB-4471

Please run the following for case OB-4471:

• Silverkite Trading Limited, Hong Kong, BRN [insert eight-digit BRN] – particulars + BRC

• Silverkite Capital Pte. Ltd., Singapore, UEN 202214567K – business profile

• Morrow Peak Holdings Limited, BVI – company search

Summary report please.

Three companies, three jurisdictions, two identifiers and a case reference, all read from one list. The summary report ties the ownership layers together.

A table pasted from a tracker

If the companies already live in a spreadsheet, paste the rows in. A “Need” or “Documents” column is read as the order for that row.

Subject: Merchant onboarding batch – week 39

Hi team, this week's merchants are below. Registry numbers where we have them.

MerchantCountryRegistry no.Need
Lantau Crest Trading LimitedHong Kong[insert BRN]Particulars
Qingshan Brightpath Technology Co., Ltd. (English trading name only)Mainland ChinaExact Chinese name or credit code requiredBusiness registration
Orchid Lane Commerce Pte. Ltd.Singapore202109876NBusiness profile

For Mainland China, provide the exact registered Chinese name or Unified Social Credit Code. An English trading name is only a lead; confirm the entity before placing the search.

An Excel file

For a long list, attach the file and say what you want for every row: one entity per row, with the jurisdiction, the registration number if you have it and your reference.

Subject: Due diligence list – Ardent Harbour Fund III

List attached, one entity per row. Company particulars for each, please, and flag anything struck off or dissolved.

Attachment: ardent-harbour-fund-iii-entities.xlsx

The agent confirms how many rows it read and lists one item per entity. A struck-off entity is raised in the thread, not silently skipped.

A book that needs re-checking on a cycle goes to remediation@fill-easy.com instead; see the monitoring page.

Name the documents

Use the registry's names or the everyday short forms. The search catalogue lists every search with its source. For Hong Kong:

You writeThe agent ordersSource
Particulars, company searchCompany particularsCompanies Registry
BRC, business registrationBusiness Registration CertificateBusiness Registration Office, Inland Revenue Department
Latest annual return, annual return 2025Annual return for that yearCompanies Registry
Litigation searchLitigation searchHong Kong court records
Bankruptcy, winding-upBankruptcy and winding-up searchOfficial Receiver's Office

Outside Hong Kong, name what the registry issues: a company report for Mainland China, a business profile for Singapore, a company profile for Malaysia, company master data for India, a company search for the BVI or Cayman.

Give the company number

A registry number removes the question the agent asks most: which of two similarly named companies you mean.

Hong Kong uses the BRN; for an older record, provide the legacy CR number and ask for its BRN mapping. Singapore uses the UEN, Mainland China the Unified Social Credit Code, India the CIN and Malaysia the registration number.

Say the jurisdiction

Always state the jurisdiction. “Limited” occurs in many jurisdictions and does not identify the registry. The Hong Kong and Singapore pages list the records available from each.

Add your reference

Put the matter, case or file reference anywhere: the subject, the body or a spreadsheet column. It is recorded on every document the agent returns, so each search can be billed to the right file. The legal and professional services page shows that workflow.

Ask for a summary

Write “summary report please” or “Summary report: Yes”. The agent adds one more document after the registry documents: the findings from all of them on one page, each pointing back to its source. It can be on by default for your domain.

Replying, and asking for more

A clarification arrives as a table with a yellow column for your answer. Fill it in, or answer in a sentence.

Fine to proceed without the register of charges for Brackenridge Holdings Limited.

A reply can also change the order: “Please get the Certificate of Incorporation for Harbour Crest Trading Limited instead.” A later request goes in the same thread, with no need to repeat the reference:

Could you also send the certificate of incorporation for both companies?

The follow-up is handled like a new order, and the documents arrive as their own “Order success” emails.

What to leave out

  • A password in the same message as the file: checks on individuals travel in a password-protected Excel file. Send the password in a separate email. The KYC batch guide has the procedure.
  • A list of people in the body: for a batch of individuals, the details belong in the password-protected spreadsheet, with each person's signed consent form attached.
  • An order from a personal mailbox: the agent accepts orders only from the domains set up for your organisation.

A checklist

  • Company: the name, and the registry number if you have it
  • Jurisdiction: for every company when the order mixes countries
  • Documents: by name
  • Reference: your matter or file reference
  • Summary: “Summary report please”, if you want one
  • Sender: your work mailbox, to agent@fill-easy.com

Everything else is optional. The agent asks in the thread before ordering, where the price and turnaround are confirmed too. Teams ordering from their own systems use the API.
