The UAE does not have one registrar issuing every company's documents. Mainland licensing authorities, free zone authorities and the registrars of DIFC and ADGM maintain different records. A company name and the word Dubai are rarely enough to choose the right search.
The National Economic Register, described on the UAE Government portal, brings licence information together for federal searching. The underlying licence or company certificate still comes from the relevant issuing authority. Record that authority beside every identifier in the file.
Ask which authority issued the record
Request the legal name in the form shown on the licence, licence or registration number, legal form, issuing authority and address. Obtain Arabic and English names where supplied. Compare the spelling without assuming that every English transliteration identifies a different company.
A Dubai mainland LLC, a DMCC company and a DIFC company sit in different systems. Abu Dhabi mainland and ADGM entities also follow different registration routes. A free zone address alone does not prove incorporation in a specific free zone.
Some licence and registration numbers may look similar across authorities. Preserve the issuer and number together. Where a document supplies both a company registration number and a commercial licence number, label each explicitly rather than replacing one with the other.
Use federal search to locate the licence
The National Economic Register can help locate a business licence, activity or trade name across participating authorities. Read the issuing authority and status in the result, then use the authority's own service or evidence route to resolve the detail needed for the transaction.
The UAE Government's licence-verification guidance links the relevant official channels. Dubai licence information can be searched through Invest in Dubai, including the licence number or Dubai Unified Licence number where applicable. Other emirates have their own services.
A missing federal result should prompt a check of identifiers, coverage and the issuer's record. It does not by itself prove that the entity does not exist. Record the source searched and any coverage limitation before escalating a negative result.
Read a mainland trade licence precisely
A mainland trade licence identifies particulars such as the licensed name, legal form, activities, issuer, number and expiry information. Check the current status using the issuing authority's process and compare the result with the copy supplied by the counterparty.
An expiry date in an older PDF may have been followed by a renewal. Conversely, a historical licence proves only what it stated at that time. Keep the supplied licence and current verification result with their separate dates.
The activity wording matters. A licence describing a commercial activity does not automatically authorise every service offered on a website. Identify any additional sector approval required and match that permission to the same entity, activity and location.
A mainland public licence search does not normally provide a complete ownership or governance file. Ask for the memorandum, current ownership evidence and appropriate authority documents when those questions are material. Use the issuer's permitted process for authentication or additional records.
Search DIFC and ADGM in their own registers
DIFC and ADGM maintain their own public company registers and legal frameworks. Search by the registrar's number and legal name. Establish whether the result is the relevant incorporated company, branch or other registered entity.
A certificate of incorporation or registration confirms formation or registration within its stated scope. It does not establish the company's current licence position, all current officers or the authority of a proposed signatory years later.
A certificate of good standing addresses the registrar's stated conditions at issuance. Read its scope and date. A certificate of incumbency can provide officer and shareholder particulars, but fields and availability differ by registrar and product.
Ask which certificate actually contains the required information. ADGM's incumbency information should not be assumed to give ownership percentages merely because shareholders are named. Request supporting share information where percentages or classes are needed for tracing.
Treat other free zones as separate evidence routes
Free zones such as DMCC issue their own registration and company documents under their applicable rules. The DMCCA Company Regulations describe documents including certificates of registration, good standing and incumbency. Use the authority's current process to confirm the item and access requirements.
Do not assume that a product available from ADGM has the same fields, access rights or certification format in another free zone. The order should specify the authority and purpose, especially when a bank or foreign recipient asks for a certificate with a particular name.
Some documents may require an account, an authorised requester or company assistance. Record those requirements and obtain the necessary permission. Ordinary licence lookup does not create a right to access all company-held or restricted registry information.
Resolve management, ownership and control separately
A manager on a licence, a director on a company record and a beneficial owner have different roles. Establish the proposed signatory's authority from the applicable record, constitutional document, resolution or power of attorney, and reconcile the dates.
For ownership, obtain the permitted shareholder information and current company-held supporting records. Capture share classes, voting rights, corporate holders and nominee or other control arrangements. Continue corporate chains using each entity's own registration number and jurisdiction.
Aggregate relevant interests held through different paths by the same natural person and assess control under the applicable rules. A certificate naming shareholders may still leave the ultimate natural persons unresolved where corporate shareholders appear.
Beneficial ownership information follows restricted access arrangements. The Ministry's published Cabinet Decision 109 of 2023 describes confidentiality and exceptions within its scope. DIFC, ADGM and other relevant regimes must be checked against their own applicable requirements rather than assuming one federal procedure governs every entity identically.
Check permissions and keep the original record
A commercial licence should be read alongside any sector authorisation needed for a regulated activity. A financial free zone incorporation is different from authorisation by its financial-services regulator. Match the regulated entity and permission to the actual service proposed.
Keep Arabic originals and English versions or translations together. Record the issuer, all relevant numbers, source, retrieval time, certificate date, expiry information and the gaps that remain. Confirm the receiving party's certification, attestation or other authentication requirements before ordering.
For an order by email, specify the authority, licence or registration number, current licence check and exact certificates required. We record the source, retrieval time and request ID. Price and expected turnaround are confirmed when the order is accepted.
Can your UAE company file show which authority supports each conclusion about existence, licensing, authority and ownership?
