An Egyptian commercial registration number should be recorded with the office that issued it. A number without that context can leave the company match incomplete. The Arabic legal name, entity form and supporting documents establish which record you need.

The Commercial Registry and Internal Trade Development Authority (ITDA) provide the commercial-registration route. The General Authority for Investment and Free Zones (GAFI) provides incorporation and investment services with a different scope. Digital government services support particular requests; they should not be described as a complete free public database of all company facts.

Start with the company’s own registration evidence

Ask for the exact Arabic name, commercial registration number and issuing office shown on the existing registration document. Preserve the original presentation alongside any English rendering. Compare the legal form, address and dates with the company named in the contract.

A translated name or brand can identify several related businesses. If the invoice, website and agreement use different names, ask how each connects to the registered entity. An English abbreviation should remain a search aid until the Arabic name and record context have been matched.

Clarify whether the counterparty is an Egyptian company, an overseas company operating through a local establishment or another legal form. A branch or operating site should not silently be treated as a separately incorporated subsidiary.

Keep the identifiers separate

Commercial registration identifies a particular registration record. Tax references, investment references and GAFI application identifiers serve different purposes. Label each by issuing authority and retain the underlying document.

Compare tax and other documents with the legal name and address, but do not substitute a tax number for the commercial-registration match. A company can have valid evidence from several authorities without those records being interchangeable search keys.

Where the company has moved, changed name or reorganised, request the documents that connect the earlier record to the present one. The relevant office and filing history matter more than an approximate name match.

Define the commercial extract request

Identify the office holding the record and the exact extract or copy required. Confirm the applicable procedure, applicant eligibility and document format. Some requests may involve office-specific or digital-service requirements; do not assume that every item can be obtained anonymously online.

Ask which particulars the issued extract will contain for the legal form. Record its issue date and any date represented by the registered information. A fresh extract is an authority-issued record within its scope rather than an independent investigation of everything the business does.

• Identity: connect the exact name, number and office to the counterparty’s documents.
• Registered particulars: review the address, form and other information actually supplied.
• Representation: identify the officials or authority particulars shown, then test them against the transaction.
• History: request specific changes or earlier versions when an old agreement is under review.

If a field needed for the decision is absent, obtain the relevant supporting document instead of inferring the answer from silence. Missing ownership details can reflect the extract’s scope, the entity form or an access restriction.

Use GAFI records for their own purpose

GAFI incorporation and investment services can produce evidence relevant to a company formed or administered through those routes. Identify the particular document and its purpose before relying on it. A reference to GAFI is not itself a complete statement of commercial registration or all regulatory permissions.

Match the GAFI document’s entity name, legal form and relevant identifiers with the commercial evidence. Keep incorporation approvals, constitutional documents and investment-related permissions labelled separately.

If the relationship depends on an investment or free-zone position, request the specific applicable evidence and confirm its scope. Do not attribute the status of a parent or affiliate to the Egyptian contracting company without a documented connection and the necessary permission.

Build ownership for the actual legal form

A limited liability company, share company and partnership can require different ownership documents. Establish the form before requesting a member register, shareholder record or partner evidence. Original incorporation documents may describe the founding position rather than today's holdings.

Ask for a dated company-held ownership record where the accessible registration evidence is incomplete. Record who supplied it, the supplier's capacity and the date to which it is stated to be complete. Obtain supporting transfers or amendments where a recent change is material.

Corporate holders require their own identity and jurisdiction matches. Continue the relevant ownership paths towards natural persons and aggregate interests where the same person appears in several branches. Review voting or other control arrangements separately from direct share percentages.

Do not promise a complete public beneficial ownership result from a commercial extract. Establish a lawful access route for any restricted item. Where only company-provided evidence is available, label its source and identify the remaining corroboration needed.

Establish signing authority explicitly

Compare the proposed signer's capacity with the registered or constitutional evidence. Request the relevant resolution, mandate or delegation for the particular transaction. Being identified as a manager or official does not settle every signing condition.

Where a power of attorney is used, check the company, authorised person, transaction scope and relevant dates. Confirm any required formalities with the receiving institution or adviser. A translated title alone should not be used as a complete authority conclusion.

Keep the authority documents alongside the identity records so a reviewer can follow the connection between the company and the individual. If an appointment or delegation postdates the retrieved record, document the change and the supporting evidence.

Retain Arabic originals and certification details

Keep the Arabic issued document with its translation. Distinguish an analyst's English summary from a translation meeting a recipient's formal requirements. Legal names and numbers should remain available in the original script for a repeatable match.

Ask whether the recipient needs an ordinary extract, certified copy or separate authentication. These requirements depend on the document and intended use. Certification identifies the copy or issuer's act; it does not independently establish the company's financial health or every reported fact.

Keep operating and financial checks distinct

Commercial registration and incorporation are different from tax compliance, sector licences and financial capacity. Identify the responsible authority for the activity actually being offered. Match any permission to the exact entity and location where required.

Request financial statements or operational evidence where the transaction depends on them. Record the reporting period and assurance level. A registry document should not be converted into a claim that the company is solvent, licensed for all activities or free from disputes.
