MCA master data and annual returns answer different company questions.
Use the CIN to match the company, then obtain the annual return and attachments for ownership. Master data, director records and financial filings each answer a different question.

MCA company master data identifies the company; its annual-return filings supply the shareholding evidence.
India’s Ministry of Corporate Affairs (MCA) provides company information through the MCA21 portal and the Registrars of Companies. Master data is the first lookup for registration, status, capital and filing dates. The public-document service supplies the forms and attachments filed by the company.
A review that needs shareholders should specify the annual return and relevant attachments. The master-data screen alone does not complete an ownership file.
Confirm the CIN
Ask for the exact registered name and Corporate Identification Number (CIN). A company’s CIN has 21 characters. Preserve the full value when searching or importing a list; it contains letters as well as digits.
Use MCA’s master-data service to compare the CIN, company name, registered office, incorporation date and status with the counterparty’s documents. A spelling variation can be harmless, but a different identifier requires resolution before you rely on the record.
An LLP uses an LLPIN and has different forms and participants. A tax identifier or director’s DIN is not the company’s CIN. Establish the legal structure first, especially where a group uses a common brand across a company and an LLP.
If only a trading name is available, use it to find candidates and ask the counterparty to confirm the legal name and identifier. Retain any explanation connecting the brand, contracting entity and payment recipient.
Read the master data
Master data provides the company’s registration category, capital, office and status, with filing-related dates. Read the dates of the last annual general meeting and balance sheet alongside the incorporation date. A long-established company can still have old information on file.
| Question | Record to use | Limit to record |
|---|---|---|
| Which entity and status? | Company master data | Latest information held by MCA |
| Who holds office? | Signatory details and director services | Role and appointment do not establish every mandate |
| Who owns the shares? | Annual return and shareholder attachments | Effective date of that filing |
| What financial position was reported? | Financial statements and accompanying reports | Reporting period and accounting scope |
| What security is registered? | Charge index and relevant charge filings | Registered security is not a list of all debts |
Read the exact status returned by MCA. An active status does not prove current trading, profitability or permission for a regulated business. Obtain the relevant licence and operational evidence where the activity or risk requires it.
Retrieve the annual return
MCA’s View Public Documents service allows access to filed documents under its current payment and access arrangements. Check the portal’s requirements and available viewing period when ordering, and retain the documents you need while access is available.
The annual return is generally MGT-7, with MGT-7A used for one person companies and qualifying small companies. Read the applicable form, reporting period, shareholding information and attachments. Do not assume the shorter form is a missing full return.
If the download contains a form without the shareholder attachment, the ownership question remains open. Request the attachment or obtain supporting evidence from the company. Document the gap rather than filling it with names taken from an unrelated search result.
Compare the annual return’s effective date with later capital, allotment or other relevant filings. For a recent ownership change, ask for current member evidence and an explanation of what has been lodged. A newly retrieved historic return remains a historic record.
Trace the owners
Identify corporate shareholders by their legal name, identifier and jurisdiction. Obtain the relevant shareholder evidence for each layer and continue towards natural persons. The same person can hold an interest through several routes; calculate and aggregate relevant interests before applying your regime’s ownership threshold.
Assess voting rights and other control separately. A director is not automatically a beneficial owner, and a registered shareholder is not necessarily the ultimate owner. Use a signed ownership chart and supporting documents to address nominees, trusts or other gaps in public filings.
The UBO tracing guide explains the working for a Hong Kong review. Record which definition your firm applies, rather than assuming that the terminology or threshold in one jurisdiction determines the result everywhere.
Directors and DINs
The Director Identification Number (DIN) helps distinguish people with similar names. MCA’s director-related services and signatory information can help connect a director to the relevant companies and appointment dates. Keep the identifier with the person’s role in your file.
Confirm the current appointment and the signatory’s authority for the proposed transaction. A registry role can support that inquiry, but a resolution or other mandate may still be needed. Do not use a past directorship as evidence that a person can bind the company today.
Financial statements and charges
Financial filings, including AOC-4 records and attachments where applicable, provide the statements and auditor’s report lodged for a financial year. Read the reporting entity, period, accounting notes and opinion. A group’s consolidated results and a subsidiary’s standalone results answer different questions.
Authorised capital and paid-up capital also answer different questions. Neither amount is the current bank balance. Use appropriate financial or payment evidence where your decision concerns liquidity, solvency or the ability to perform a contract.
The charge index points to registered security interests. Check creation, modification and satisfaction information and obtain the underlying filing where necessary. Do not read a historic secured amount as the current outstanding loan balance without further evidence.
Assemble the file
Keep the master-data result, relevant signatory information, annual return and shareholder attachments, plus any financial or charge filings used. Label the source, retrieval date, filing date and reporting period. Place the client’s ownership declaration and your calculations beside those records.
State what could not be obtained and how that affects the conclusion. An unavailable document may require a fresh request or company evidence; it should not silently become a clean finding. For repeat reviews, compare the same CIN with the earlier record and explain material changes.
Ordering through Fill Easy
Send the Indian company’s name, CIN, required filings and your reference to agent@fill-easy.com, or use the API. Specify the annual-return year and attachments when ownership is the purpose. Availability, price and expected turnaround are confirmed with the order.
The India registry page lists MCA products and primary sources. CorpVerify returns requested evidence with source, retrieval time and request ID, so the master-data lookup and deeper document review can be filed together.
