Taiwan's public company information can identify the legal entity, its representative and relevant officers. It does not provide the same ownership evidence for every company form. For onboarding, the reviewer needs to establish which facts the public record supports and which require a registration document or evidence from the client, especially for a company limited by shares.
Which rules apply
The Company Act governs registration and corporate records. Article 393 distinguishes public registration items from other file documents, for which applicant eligibility, reasons and access restrictions may matter. A request for company documents therefore needs to identify the item and available access route, rather than assume the complete file is public.
The receiving firm's AML obligations come from its own regime. A Hong Kong regulated financial institution follows AMLO and its regulator's guideline to identify and verify the customer and beneficial owners, understand the relationship and conduct ongoing due diligence. Taiwan's company records support that work. They do not determine the receiving firm's ownership test or establish all individuals who exercise control.
Documents commonly requested
| Evidence | What the reviewer assesses |
|---|---|
| Public registration particulars | Chinese name, unified number, legal form, representative and status |
| Available registration form and relevant changes | Filed capital, members or officers, and effective dates |
| Articles and amendments | Governance and authority arrangements |
| Shareholder register and ownership chart, from the client | Complete holdings for a share company and indirect control |
| Tax registration evidence where relevant | The separate tax-registration position |
| Appointment, resolution or delegation, from the client | Current powers of the proposed signatory |
| Identity, business and funding evidence | Relevant people and the commercial explanation |
The eight-digit unified business number helps reconcile registration information with invoices and client documents. The Traditional Chinese legal name should remain beside any translation. An English import or export name may differ from the company-register name, so matching only the English brand can lead to the wrong contracting entity.
The risks behind the paperwork
Legal form changes the ownership evidence. A limited company's registration documents can identify members and contributions. For a company limited by shares, public director and supervisor holdings are not a complete shareholder register. The remaining holdings need company or other permitted evidence, with the reporting date and share classes considered before calculating direct or indirect interests.
An individual may represent a corporate shareholder. Public officer information can identify the legal person represented by an office-holder. The corporate interest should not automatically be attributed to that individual personally. Establishing the represented company's identity and tracing its owners helps separate an appointment from actual ownership or control.
Registration does not establish current operations. The company register and business-tax information answer different questions. If status, addresses or trading evidence conflict, the team needs to reconcile the dates and sources rather than infer current trading from incorporation. For a manufacturer or supplier, the operating site and permissions may also require evidence beyond a registered office.
Displayed officer terms may leave an authority gap. Company-reported terms can lag later elections or changes. An appointment record, resolution or delegation should explain the signer's current powers where the transaction requires it. Access restrictions on a requested file document need to be recorded as an evidence limitation, with an appropriate client-held alternative sought where available.
These distinctions also affect how records are retained. Traditional Chinese originals and a labelled English summary let a later reviewer follow the entity match and the meaning of each field. A newly retrieved record can contain an earlier filed position, so both retrieval and underlying dates belong in the assessment.
How the Fill Easy email bot helps
An approved organisational sender can email agent@fill-easy.com:
Please retrieve public company particulars, the available latest registration form and articles for [Chinese name], unified business number [number]. Reference: [case]. Include an English summary and confirm access requirements, availability, price and turnaround.
The agent replies with order items and statuses, asks for clarification if necessary and returns retrieved PDFs in the same thread. Each result records its source, retrieval time and request ID; an optional summary references the underlying documents. Restricted documents or certification can require a separate confirmed arrangement.
The team can then compare the returned records with the client's shareholder register, identity evidence and authority documents. The Taiwan jurisdiction page provides the source reference and explains the available registration information.
