Checks on individuals involve personal information, so a batch begins with the people, the permitted purpose and the evidence needed. A corporate registry request follows a different workflow. For Mainland individual checks, Fill Easy’s documented order procedure requires signed consent and protected handling of a batch spreadsheet.
Before preparing the file, confirm the available checks, required identifiers and permitted use case with Fill Easy. A named service category does not mean every record is available for every person or every purpose. The China Cross-Border Data page describes the service scope.
What a batch needs
| Item | Why it is needed |
|---|---|
| One spreadsheet row per individual | Connect the subject’s details to the requested checks |
| Signed consent for each person | Support the documented authorisation process |
| Named checks and your case reference | Define the requested scope and reconcile the result |
| Workbook encryption | Protect the personal details in the attachment |
| Password sent separately | Keep the opening password out of the attachment email |
An opening password encrypts the workbook; worksheet or cell protection alone does not. Check that consent and identifiers correspond to the right row before sending. A mismatch can produce a clarification or an unreliable comparison, especially when several people share similar names.
The request and returned evidence
An approved organisational sender can email agent@fill-easy.com with the encrypted spreadsheet and signed consent forms, naming the checks and the case reference. Send the password separately according to the agreed service procedure.
Please run the agreed checks for the individuals in the attached encrypted workbook, reference [case reference]. Their signed consent forms are attached. The opening password will follow separately. Please confirm the available scope, price and expected turnaround.
The agent asks for missing information or consent before proceeding. The batch-received notification identifies how many rows are being processed, and the results return in your spreadsheet with a result column for each requested check, encrypted with the same password under the documented workflow.
Available categories can include identity matching, litigation or enforcement records and other permitted risk checks. Confirm the actual source and scope for each order. A general category such as credit risk should not be read as unrestricted access to an individual’s complete credit file.
Reading the results
Identity matching has a defined scope. A match between a name and identifier answers that comparison. The team still needs to assess whether the person is the relevant applicant, owner or representative and whether the verification meets its applicable requirements.
A record needs to be connected to the right person. Similar names, incomplete identifiers and translated details can create possible matches. Read identifying details and the source report before attributing a litigation or adverse record to the subject.
An empty result has limits. A result such as “Not found” needs to be interpreted within the searched source, the identifiers supplied and the available coverage. It does not establish that no relevant information exists elsewhere. A “See report” response points the reviewer to evidence requiring further interpretation.
The finding needs context. A court record can describe a claimant, defendant, enforcement subject or another role. Its date, procedural status and relevance to the proposed relationship help determine the appropriate follow-up. The reviewer records that reasoning alongside the evidence.
Rules and transfer scope
Mainland personal information handling is subject to the PIPL and other applicable requirements. A lawful overseas transfer route does not settle every question about collection, use, necessity or retention. Signed service consent also needs to be read within the actual data, purpose and recipient arrangement.
Fill Easy’s filed Standard Contract, Filing No. 202500031, supports transfers within its documented scope. Confirm the categories, parties, purposes and destinations for the request. Your firm remains responsible for its own use, access, retention and any onward transfer. The GBA Standard Contract guide explains the scope questions.
The thread keeps the request, clarifications and results together for filing under your organisation’s policies. Company-book re-checking is a separate service described on the monitoring page; it should have its own entity list and review purpose.
